Must answer phone calls from customers and delivery crew members. Schedule meetings, maintain filing systems, proficient in typing, copying, scanning, etc. Maintains proper communication with management to keep smooth operations. Must be able to effectively communicate with vendors and maintain positive professional relationships.


  • Answering and directing phone calls to relevant staff
  • Keep track of deliveries, quantities, and products
  • Maintain updated wholesale customer list, and vendor list
  • Finding ways to improve administrative processes and increase daily efficiency
  • Keep track of employees and products provided such as apparel, PPP, and equipment
  • Scheduling meetings and appointments through Teams and Outlook services
  • Recording notes in meetings
  • Processing and directing mail and incoming packages or deliveries
  • Greeting and directing visitors and new staff to the organization
  • Ordering and taking stock of office supplies
  • Being a point of contact for a range of staff, clients, and customers
  • Preparing documents for meetings and presentations
  • Writing and issuing emails to teams and departments on behalf of teams or senior staff

Work Conditions:

  • Will work in a temperature-controlled environment with designated and separate area to ensure safety and follow CDC guidelines for COVID-19 social distancing


  • Experience in administrative duties and secretarial tasks


  • Hourly wages will be further discussed based on experience
